Loose shifts are applied as a specific change in an employee's work schedule or to replace certain dates in a schedule or sequence.
As we have discussed in previous posts, employees can have their schedules informed through schedules, shifts or sequences. In this post, we want to show you how to create a loose shift in the quadrant. This way, we will inform that an employee - or employees - will have a shift that will be applied either to replace a schedule or sequence on certain dates or to add a specific change to their workday.
Who can create loose shifts?
A loose shift can be added by users with administrative permissions and also by team supervisors.
How to add a loose shift?
Follow the steps to correctly set up a loose shift:
1. Create a shift code
To add a loose shift, we can first create a shift code that will help us inform the schedule so that all schedule information is transferred directly and quickly. In the post Create shift codes, you can see the steps.
2. Add a loose shift from the Quadrant
To create the loose shift, click on Home > Quadrant. Click on the pencil symbol on the employee's line and the day you want to add the shift.
Select the "loose shift" option and give a name to that loose shift.
3. Assign which employee(s) this shift belongs to and on what date
If other employees also have this loose shift on the same dates, we can indicate it in the Employees field. By clicking on Employees, it shows the employees on the staff, or we can click on Add employees in bulk to select the corresponding ones.
Check that the start date is correct and specify an end date. If the shift is going to take place on a single day, we will enter the same end date as the start date.
4. Apply the corresponding shift code or set the configuration
Next, apply the code - created in the first step - that represents the shift you want to assign.
You can also set the configuration without shift codes, specifying the start time, end time, and break time if this shift has flexibility or if you want to indicate a lock.
You will find more information about these aspects of planned work in the following links:
- How to create a simple schedule.
- How to add breaks to a schedule.
- How to create a flexible schedule.
- How to add blockouts to a schedule.
You can also add other information such as the location where the shift will take place, which project/account the shift is associated with, etc.
5. Advanced Configuration
If you click on Advanced Configuration to expand it, you can define other aspects, such as whether this shift should replace a schedule (in this way, if the employee has a set schedule, the loose shift will replace the schedule on the specified dates).
You can also indicate if the shift should be applied on holidays, if breaks in this shift are not clocked out, or if the time should be deducted automatically.
Loose shift 6 If, for example, you want to add a loose shift on a day that is marked as a holiday (in your Labor Calendar) because that holiday is worked and should be part of the planned workday, the "No se trabaja en festivos" flag must be unchecked so that the platform understands that work is indeed done on that day off. In this way, by unchecking that flag, the added loose shift will also be displayed on that holiday. In this article, you can see How to set up the vacation policy.
6. Select the button to create a loose shift
Once you have configured all the fields, click on Create shift. This will establish this loose shift in the Cuadrant from the specified date and with the duration indicated in dates.
- If the Create shift button appears uncolored, make sure you have filled in all the necessary fields to allow you to select it.
